Preamble

  • A spamtrap, also known as a honeypot, is a tool used to detect and catch spammers.
  • It is essentially an email address or a system that is created with the purpose of attracting unwanted messages, such as spam.

 

How a Spamtrap Address Works

A spamtrap address works by attracting spam and identifying the senders of unwanted messages. Here's how this can happen:

  1. An email address is created specifically to act as a spam trap; it is usually configured not to receive legitimate communication.
  2. The spamtrap address is hidden or obscured so that it is not visible to legitimate users, but only to spammers; this can be done by placing it on hidden web pages, in forums inaccessible to the public, or by making it invisible to humans (e.g., using white text on a white background).
  3. Spammers use automated techniques to extract email addresses from various sources, such as websites, forums, social networks, or stolen address lists; during this process, they may inadvertently or intentionally include spamtraps in their lists.
  4. When a spammer sends a message to a spamtrap address, it is captured and recorded; since the address is not used for legitimate communication, any email received is considered unwanted.
  5. When a spamtrap receives spam, it triggers an alert for email service providers like Infomaniak; they can then identify the spammer by examining the message headers or the information related to the source IP address.
  6. Once a spammer is identified through a spamtrap address, measures can be taken to block or filter their unwanted messages; Infomaniak can add the spammer's IP address to a blacklist, implement stricter anti-spam filters, or take other actions to protect their users.

This guide explains how to order a DNS zone from Infomaniak.

 

Preamble

  • Having the DNS zone with Infomaniak is useful if your domain name is registered elsewhere (third-party provider/registrar) and you want to easily link this domain with Infomaniak products.
  • Indeed, it is not enough to own a site domain.xyz with Infomaniak and to indicate the 2 Infomaniak DNS addresses with the domain name registrar (if it is not Infomaniak) for the site to display when you type domain.xyz in a browser.
  • You must add a DNS zone in the same place as the hosting to make the site work easily.
  • This will also be particularly useful if the service provider managing your domain name does not offer DNS zone management.

 

Order a DNS zone

To do this:

  1. Click here to access the Infomaniak domain Shop.
  2. Start a search with the name of the domain registered elsewhere.
  3. Click on the action menu ⋮ located to the right of the result obtained.
  4. Select Order a DNS zone:
  5. Complete the purchase.
  6. Once added to your Manager, the zone can be edited.

This guide explains how to replace the main domain name associated with a Mail Service in case you want to modify the spelling of everything that comes after the at sign @ of your email address (= the domain name). If your Mail Service is part of a my kSuite, then you will need to act on the my kSuite domain directly.

 

Preamble

  • You can also follow this procedure if the goal is to have completely new email addresses while keeping the history of your emails in Mail (since the email address will continue to exist, for example info@first-domain.xyz will become info@new-domain.xyz without modifying its content).
  • Indeed, it is not possible to simply modify the spelling of the domain name concerned; it is therefore necessary to replace the current domain name associated with your email addresses with another domain name.
  • To simply add an additional domain name, refer to this other guide.
  • To rather modify the part of your email address that comes before the at sign @, refer to this other guide.
  • Also note that you can rename your product (example) on the Infomaniak Manager but changing the name of a Mail Service has strictly no impact on its addresses; you need to act on the domain name.

If your Mail Service is part of a my kSuite, then you will need to act on the my kSuite domain directly.

 

Modify the domain name of the Mail Service

Prerequisites

  • Own the new domain name (if necessary, create it in advance).
  • Refer to the instructions of this other guide by applying the instructions corresponding to your situation (this is so that the domain name works when it is linked to your Mail Service).

Once the new domain name is ready to be used in place of the old one, you need to add it to the Mail Service and then perform a reversal:

  1. Click here to access the management of your product on the Infomaniak Manager (need help?).
  2. Click directly on the name assigned to the product in question.
  3. Click on Domain Management in the left sidebar
  4. Click on Service-related domains in the left sidebar.
  5. Click the blue button Add a linked domain:
  6. You can:
    1. Search for an existing domain within the Organization you are connected to; this will link and automatically update the DNS zone of the added domain.
    2. Add a domain name or subdomain to manually specify the domain name or subdomain to use (ideal if the domain name is hosted elsewhere).
    3. Buy a new domain name (see prerequisites above).

 

a: The domain exists within the Organization

Before proceeding, make sure to dissociate the domain name if it had been set as an alias domain previously.

  1. Click on the proposed domain name.
  2. Click the blue button Link this domain:
  3. Click on the icon to the right of the newly added domain name.
  4. Click on Set as primary domain (you must have dissociated the alias domain name from the primary domain name if there was a previous association):
  5. Confirm the reversal and then wait for the operation to complete.
  6. Click on the icon to the right of the old domain name.
  7. Click on Unlink the domain:
  8. Confirm the detachment by verifying if you want to delete the associated DNS records during the detachment operation.

That's it, the Mail Service now responds to a new domain name.

 

b: The domain exists but elsewhere

  1. After clicking on Add a domain or subdomain, enter the domain name that will replace the current name.
  2. Enable DNS entry updates (if the domain name situation allows it, the DNS zone of the domain name will be automatically updated).
  3. If the point above is active, then enable the replacement of any existing entries.
  4. Enable reversal of the domain name (to avoid additional steps as in point "a" above).
  5. Click the blue button Link this domain:
  6. Wait for the operation to complete.
  7. Click on the icon to the right of the old domain name.
  8. Click on Unlink the domain:

Preamble

  • Except for certain free offers, an email address at Infomaniak is always created within an Email Service, and this Email Service revolves around a custom domain name that must exist and be configured for the email to work.
  • Example: you want the address jean.dupont@domain.xyz then you need:
    1. To own the domain namedomain.xyz”.
    2. To obtain an Email Servicedomain.xyz”.
    3. To create the email addressjean.dupont”.
  • All of this is offered and requested in the ordering process on infomaniak.com (see below), preceded by the mandatory creation of a user account (for which you will need to provide your personal email address, or an address that already exists in all cases).
  • If the corresponding domain name is already registered with an external registrar, you may need to enter the correct MX record in the DNS zone.

 

Order email addresses from Infomaniak

Before or after your registration:

What to do in case of a connection issue?

It is not necessary to contact Infomaniak Support (who does not have any of your passwords)…

 

Explanations

  1. Like many other online services, you registered with Infomaniak using a personal email address.
  2. This personal email address serves as your login identifier when you want to access Infomaniak services.
  3. This login identifier has its own password (set when creating your Infomaniak user account – your personal email address, see above).

There is no link between…

  • … this identifier/password pair described in points 1/2/3 above…
  • … and the email addresses you have created or obtained subsequently with Infomaniak.

A link might exist if the address is the same (for example, you signed up with the email address toto@abc.xyz and you also manage this same email address at Infomaniak) but even in this case, the password will very likely be different — once for the login identifier toto@abc.xyz and once for the email address toto@abc.xyz.

 

Other identifiers?

Acquiring other Infomaniak products involves obtaining other identifiers, such as those required for FTP, MySQL, SSH, WebDAV connections, etc., but these identifiers are entirely independent of the two types described above.

This guide explains how to switch from one Organization to another from your Infomaniak Manager when you belong to multiple Organizations.

 

Preamble

  • Since you opened your account with Infomaniak, you are part of at least one Organization.
    • If you were alone and it was not an invitation, an Organization was created in your name and you automatically become the legal manager.
    • Otherwise, you belong to the Organization that invited you (to join its kSuite, to manage a product, etc.).
    • You can leave Organizations.
  • It is quite possible to access multiple Organizations from the same login credentials and to switch quickly from one to the other.

 

Switch to one of the other Organizations

To switch to another Organization among those you belong to:

  3. Click on the Organization you want to access (or display them all to access all the kDrive / email addresses you are attached to).

Create an address on a Mail Service

Prerequisites

Next, to create a new email address:

  1. Click here to access the management of your Mail Service on the Infomaniak Manager (need help?).
  2. Click directly on the name assigned to the Mail Service concerned:

  4. Enter the name that will compose the email address.
  5. Click the button to continue:
  6. Select the creation mode suitable for your situation:
    1. An address for you or other users [ ☍ ]

      • Example: make the address directly visible on your Mail interface, or send invitations so that others can use it.
    2. A secondary (alias) address [ ☍ ] that will not be deducted from the main quota

      • Requires having a first email address, to which the new designation will be attached.
    3. An address used only to redirect emails [ ☍ ] that will not be deducted from the main quota

      • You will not be able to send messages from this address, but only forward incoming emails to the existing address of your choice.
  7. Click the button to continue after making your choice.

 

Additional actions (button )

Click on the chevron to the right of the Create an email address button to access additional actions:

  1. Create a generic email address of type:
    1. no-reply (for sending confirmations, validations, invoices, etc.)
    2. catchall (allows receiving all messages for which there is no specific email address on your domain)
  2. Create multiple email addresses: allows you to create multiple email addresses at once using a CSV file.
  3. Create “virtual” addresses used for redirection.
  4. Import content from other email addresses.

Preamble

  • Once removed, the domain name is available again to order a new Mail Service or to be attached to another existing Mail Service.

  • Have dissociated the synonymous domain name from the main domain name if there was an association previously.

This guide details sending authenticated emails from a website / CMS hosted by Infomaniak.

 

Preamble

  • Using an authenticated SMTP server to send emails from your applications has many advantages over the standard non-authenticated PHP mail() function:
    • enhanced security,
    • better delivery reliability,
    • more accurate error handling,
    • optimal compatibility with third-party mail servers,
    • and complete traceability of shipments.
  • Recommended settings:
    • Outgoing SMTP server = mail.infomaniak.com
    • SMTP port & encryption protocol and command/method to activate this protocol: 587 + STARTTLS
    • Username = full & complete email address ( ? )
    • Password = the one generated for the email address you want to access ( ? )
    • Authentication required to send emails:
      • It is activated in the SMTP settings of your CMS.
      • Check "use the same parameters as the incoming server" or depending on the CMS, enter a username (= full & complete email address) and the generated password.

 

SMTP configuration examples...

Prerequisites

  • Have a messaging service.
    • You can use the Mail Service offered by Infomaniak or any other messaging service of your choice.

When you have an email address whose domain is attached to your website ( email@domain-site.xyz for example) enter its details to use it for sending from a web server via SMTP:

... on WordPress

  1. Log in to the WordPress admin panel.
  2. Install an SMTP extension (WP Mail SMTP works).
  3. Configure the extension, for example:

From then on, an email sent from a contact form present on the site (default form Divi for example) will be sent via an SMTP method.

To make sure, just look at the headers of a message received this way, especially the x-mailer line which may mention for example WPMailSMTP/Mailer/smtp instead of PHPMailer.

Note: the x-mailer can be any indication not necessarily representative of the actual sending method!

 

... on Prestashop

  1. Log in to the Prestashop admin panel.
  2. Go to Advanced Settings then Email
  3. Configure sending via SMTP:

Then check (to avoid an error like Could not instantiate mail function or sender mismatch) that the address you have configured in these advanced settings matches the address that Prestashop uses when sending. To do this:

  1. Log in to the Prestashop admin panel.
  2. Go to Store Settings
  3. Click on Contact in the left sidebar menu.
  4. On the Contacts tab, check that the email address mentioned is the same as the one configured previously.
  5. Edit email addresses if necessary:

This guide details the security measures implemented as part of the Infomaniak email offers to detect abusive and abnormal use of an email address.

 

Preamble

  • Upon written request, justified and authenticated, it is possible to modify these security rules for a specific paid email address.
  • For sending emails to a large number of recipients, the Newsletter tool is the most suitable.
  • These measures protect you from malicious use of your computer or your account.
  • Quota calculation (sliding window): the limits (below) are not reset at midnight but calculated in real-time over a 24-hour window; each sent message "occupies" a space in your quota and is automatically released 24 hours after it is sent.
    • If you send messages throughout the morning until you reach your limit at 11 AM, your sending rights will be gradually released the next morning, as each message reaches its 24-hour age.
  • 1 message sent to 2, 42, or 99 people in CC/BCC counts as 2, 42, and 99 messages, respectively.

Delete one or more email addresses

Prerequisites

Removing an email address or terminating a user account is done through the Mail Service dashboard. This action will disconnect the associated services and requires special attention to the preservation of existing data. To remove an email address (its content will be permanently deleted):

Once in front of the email address table:

A. Delete one address at a time

Preamble

  • It is easy to transfer your entire email directory to Infomaniak - discover the offers.
  • Use your email address on a simple browser, Outlook, etc. and on mobile devices iOS/Android thanks to the Infomaniak Mail app.
  • Import your contacts to continue communicating with them from your new email.
  • The operation does not affect either the data already present on the destination address, or that of the source address.
  • The entirety of the external mailbox will be imported.
  • Once the import process has started, it is no longer possible to interrupt it.
  • Any duplicates are managed: identical content will only be copied once.

Google Prerequisites

  1. Activate two-step authentication (2FA):
    • It is imperative to activate two-step authentication in Gsuite - if necessary the organization administrator will first have to allow users to activate it from admin.google.com.
    • In the settings of your Google account (https://myaccount.google.com/), go to the Security tab and activate Two-Step Verification:

  2. Create an application password:
    • Once 2FA is activated, go to application passwords (https://myaccount.google.com/apppasswords).
    • Follow the complete Google guide:
      • Click on App Passwords.
      • Enter, if requested, the password of your Gmail account.
      • Give a name to your password (for example ImportINK), it is simply descriptive:
      • Click on Generate.
      • Copy or note the password that appears on the screen (it does not contain spaces).

 

Import Google email content to Infomaniak

  1. Click here to access the import tool (online service https://import-email.infomaniak.com).
    • If you have many (10+) email addresses to import, refer to this other guide about bulk imports.
  2. If necessary, log in to your Infomaniak account on the Organization of your choice; indeed, the import will be to one of the email addresses attached to the Infomaniak Web Mail interface (online service ksuite.infomaniak.com/mail) of the Infomaniak account you are using.
  3. Click on single import.
  4. Fill in the left field with your existing Google email address (whose content is to be copied):
    • Fill in the right field with the application password created above.
  5. If necessary, modify the Advanced Settings to specify an IMAP server address:
    1. Enter the IMAP server name imap.gmail.com (or try mail.gmail.com in case of error).
    2. Leave the default port (993) and SSL.
  6. Click on Confirm.
  7. Choose which email address to import emails to; the dropdown menu lists the email addresses currently attached to your Infomaniak Web Mail interface (online service ksuite.infomaniak.com/mail) of the Infomaniak account you are logged in to.
  8. After selecting the desired destination address from the list, click the blue Import emails button.
  9. The copy starts, you can wait and see the result on the page once the import is complete, or close the window (the import continues in the background - refer to this other guide from point 13 about import tracking).
  10. A confirmation email will be automatically sent to all email addresses concerned by the operation once the import is complete, mentioning the number of messages copied.

 

Adjust application settings

As soon as you take the necessary steps for the domain name associated with your email to work with Infomaniak, modify the settings of the email software/clients you use so that they connect correctly to the Infomaniak servers: follow the configuration assistant.

 

Labels and data volume

The storage space displayed at Infomaniak may not match the one indicated in Gmail, notably due to the different management of labels / tags. Be patient when importing a large volume of emails; Gmail and Microsoft imports are deliberately slowed down (example: 1 GB/day bandwidth for Google) to avoid rejections from their side.

Preamble

  • Existing and future email addresses are automatically valid with all linked domains.

  • Note also that you can rename your product in the Infomaniak Manager, but changing the name of a Service Mail has no effect on its addresses. You need to change the domain name.

 

Add a domain name to the Service Mail

Prerequisites

  • Own the new domain name (if necessary, you will need to create it first).
  • Refer to the instructions in this other guide by applying the instructions corresponding to your situation (so that the domain name works when it is linked to your Service Mail).

Once the new domain name is ready to be used alongside the old one, you need to add it to the Service Mail:

  3. Click on Domain Management in the left sidebar:

  1. Enter the domain name to add.
  2. Activate the update of the DNS entries (if the domain name situation allows it, the DNS zone of the domain name will be automatically updated).
  3. If the point 2 above is active then activate the replacement of any existing entries.
  4. Only reverse the domain name if you want to set this new domain name as the main one (this is mainly an administrative issue rather than a technical one).
  5. Click on the blue button Link this domain:

 

Example of use

The email contact@une-super-entreprise-familiale.com is a long email address. The synonym domain contact@usef.com is shorter and easier to remember.

By adding the domain "usef.com" to the Mail Service "une-super-entreprise-familiale.com" you authorize all messages sent to contact@usef.com (the linked domain) to arrive among the messages that the address contact@une-super-entreprise-familiale.com already receives.

Preamble

  • The directory of a classic mailbox can contain certain special folders such as the one that stores emails…
    • … once they have been sent (= "Sent messages" or "Sent").
    • … for a few days before their definitive deletion (= "Trash" or "Bin").
  • Everything is already configured so that by default it is synchronized between the different messaging interfaces around the globe.
  • If you wish to make adjustments for various reasons, sometimes linguistic, then refer to the guide below to modify these special folders:

Configure special folders

For security reasons, folder management is confidential and restricted to users added to the email address concerned.
