This guide explains how to order a DNS zone from Infomaniak.

 

Preamble

  • Having the DNS zone with Infomaniak is useful if your domain name is registered elsewhere (third-party provider/registrar) and you want to easily link this domain with Infomaniak products.
  • Indeed, it is not enough to own a site domain.xyz with Infomaniak and to indicate the 2 DNS addresses of Infomaniak with the domain name registrar (if it is not Infomaniak) for the site to be displayed when you type domain.xyz in a browser.
  • You must add a DNS zone in the same place as the hosting to make the site work easily.
  • This will also be particularly useful if the service provider managing your domain name does not offer DNS zone management.

 

Order a DNS zone

To do this:

  1. Click here to access the Infomaniak domain Shop.
  2. Start a search with the name of the domain registered elsewhere.
  3. Click on the action menu ⋮ located to the right of the result obtained.
  4. Select Order a DNS zone:
  5. Complete the purchase.
  6. Once added to your Manager, the zone can be edited.

This guide explains how to replace the main domain name associated with a Mail Service in case you want to modify the spelling of everything that comes after the at sign @ of your email address (= the domain name). If your Mail Service is part of a kSuite, then you will need to act on the kSuite domain directly.

 

Preamble

  • You can also follow this procedure if the goal is to have completely new email addresses while keeping the history of your emails in Mail (since the email address will continue to exist, for example info@first-domain.xyz will become info@new-domain.xyz without modifying its content).
  • Indeed, it is not possible to simply modify the spelling of the domain name concerned; it is therefore necessary to replace the current domain name associated with your email addresses with another domain name.
  • To simply add an additional domain name, refer to this other guide.
  • To rather modify the part of your email address that comes before the at sign @, refer to this other guide.
  • Note also that you can rename your product (example) on the Infomaniak Manager, but changing the name of a Mail Service has strictly no impact on its addresses; you need to act on the domain name.

If your Mail Service is part of a kSuite, then you will need to act on the kSuite domain directly.

 

Modify the domain name of the Mail Service

Prerequisites

  • Own the new domain name (if necessary, create it in advance).
  • Refer to the instructions of this other guide by applying the instructions corresponding to your situation (this is so that the domain name works when it is linked to your Mail Service).

Once the new domain name is ready to be used in place of the old one, you need to add it to the Mail Service and then perform a swap:

  1. Click here to access the management of your product on the Infomaniak Manager (need help?).
  2. Click directly on the name assigned to the product in question.
  3. Click on Domain Management in the left sidebar
  4. Click on Service-related domains in the left sidebar menu.
  5. Click the blue button Add a linked domain:
  6. You can:

    1. Search for an existing domain within the Organization you are connected to; this will link and automatically update the DNS zone of the added domain.
    2. Add a domain name or subdomain to manually specify the domain name or subdomain to use (ideal if the domain name is hosted elsewhere).
    3. Purchase a new domain name (see prerequisites above).

     

 

a: The domain exists within the Organization

Before proceeding, make sure to dissociate the domain name if it had been set as an alias domain previously.

  1. Click on the proposed domain name.
  2. Click on the blue button Link this domain:
  3. Click on the icon to the right of the newly added domain name.
  4. Click on Set as primary domain (you must have dissociated the alias domain name from the primary domain name if there was a previous association):
  5. Confirm the reversal and then wait for the operation to complete.
  6. Click on the icon to the right of the old domain name.
  7. Click on Unlink the domain:
  8. Confirm the detachment by checking if you want to delete the associated DNS records during the detachment operation.

That's it, the Mail Service now responds to a new domain name.

 

b: The domain exists but elsewhere

  1. After clicking on Add a domain or subdomain, enter the domain name that will replace the current name.
  2. Enable DNS entry updates (if the domain name situation allows, the DNS zone of the domain name will be automatically updated).
  3. If the point 2 above is active, then activate the replacement of any existing entries.
  4. Activate the reversal of the domain name (to avoid additional steps as in point "a" above).
  5. Click on the blue button Link this domain:
  6. Wait for the operation to complete.
  7. Click on the icon to the right of the old domain name.
  8. Click on Unlink the domain:

Preamble

  • Except for some free offers, an email address at Infomaniak is always created within an Email Service, and this Email Service revolves around a custom domain name that must exist and be configured for the email to work.
  • Example: you want the address jean.dupont@domain.xyz then you need:
    1. Own the domain namedomain.xyz”.
    2. Obtain an Email Servicedomain.xyz”.
    3. Create the email addressjean.dupont”.
  • All of this is offered and requested in the ordering process on infomaniak.com (see below), preceded by the creation of a mandatory user account (for which you will need to provide your personal email address, or an address that already exists in any case).
  • If the corresponding domain name is already registered with an external registrar, you may need to enter the correct MX record in the DNS zone.

 

Order email addresses from Infomaniak

Before or after your registration:

  • Once the Email Service is ordered, you will be able to create email addresses and associated passwords.

 

Add an additional Email Service

To add a new Email Service (to obtain new addresses on another domain):

What to do in case of a connection problem?

It is not necessary to contact Infomaniak Support (who does not have any of your passwords)…

 

Explanations

  1. Like many other online services, you registered with Infomaniak using a personal email address.
  2. This personal email address serves as your login identifier when you want to access Infomaniak services.
  3. This login identifier has its own password (set when creating your Infomaniak user account – your personal email address, see above).

There is no link between…

  • … this identifier/password pair described in points 1/2/3 above…
  • … and the email addresses you have created or obtained subsequently with Infomaniak.

A link might exist if the address is the same (for example, you signed up with the email address toto@abc.xyz and you also manage this same email address at Infomaniak) but even in this case, the password will probably be different — once for the login identifier toto@abc.xyz and once for the email address toto@abc.xyz.

 

Other identifiers?

Acquiring other Infomaniak products involves obtaining other identifiers, such as those required for FTP, MySQL, SSH, WebDAV connections, etc., but these identifiers are completely independent of the two types described above.

Preamble

 

Create an address on a Mail Service

Prerequisites

Then, the administrator of a Mail Service creates a new email address:

  1. Click here to access the management of your Mail Service on the Infomaniak Manager (need help?).
  2. Click directly on the name assigned to the Mail Service concerned:
  3. Click on the blue button Create an email address at the top right:
  4. Enter the name that will compose the email address.
  5. Click on the button to continue:
  6. Select the creation mode suitable for your situation:
    1. An address for you or other users [☍]

      • Example: make the address directly visible on your Mail interface, or send invitations so that others can use it.
    2. A secondary (alias) address [☍] that will not be deducted from the main quota

      • Requires having a first email address, to which the new designation will be attached.
    3. An address used only to redirect emails [☍] that will not be deducted from the main quota

      • You will not be able to send messages from this address, but only forward incoming emails to the existing address of your choice.
  7. Click on the button to continue after making your choice.

 

Delete one or more email addresses

The removal of an email address or the termination of a user account is done via the Mail Service dashboard. This action results in the disassociation of linked services and requires special attention to the preservation of existing data. To remove an email address (its content will be permanently destroyed):

  1. Click here to access the management of your product on the Infomaniak Manager (need help?).
  2. Click directly on the name assigned to the product concerned.

Once in front of the email address table:

A. Delete one address at a time

  1. Click on the action menu ⋮ located to the right of the item in question.
  2. Choose to delete the email address.

B. Delete multiple addresses at once

  1. Select the addresses to delete by checking the boxes to the left of the line.
  2. Click on Delete at the bottom of the screen.

This guide explains how to remove additional designations from an existing Mail Service (everything that comes after the @ sign in your email address), by detaching its linked domain names.

 

Preamble

  • Once removed, the domain name is available again to order a new Mail Service or to be attached to another existing Mail Service.
  • It should also be noted that you can rename your product in the Infomaniak Manager, but changing the name of a Mail Service has no effect on its addresses. You need to act on the domain name.

 

Remove the linked domain

Prerequisites

  • Have dissociated the synonymous domain name from the main domain name if there was an association previously.
  • Have defined the domain name to be detached as a secondary domain (instead of a main) — this reversal can be done by following this other guide in the chapter named "a" from point 3 onwards.

To detach a domain name from your Mail Service:

Prerequisites

  • Depending on the desired type (Mail or Web), do not have a corresponding product already associated with the domain name and this in any existing Infomaniak Organization.

To order a Starter Mail Service and Starter Web Hosting included with each domain:

  2. Click directly on the name assigned to the product concerned:
    • It is necessary that no product is linked to the domain at the moment (visible in the column of linked products).
  3. Click on one of the shortcuts to Connect a service (mail or web):

  5. You will be able to choose the corresponding free service (mail or web) and the next step will offer you the choice of the other (mail or web) if desired.
  6. Click at the bottom of the page to continue:

This guide details sending authenticated emails from a website / CMS hosted by Infomaniak.

 

Preamble

  • Using an authenticated SMTP server to send emails from your applications has many advantages over the standard non-authenticated PHP mail() function:
    • enhanced security,
    • better delivery reliability,
    • more accurate error handling,
    • optimal compatibility with third-party mail servers,
    • and complete traceability of shipments.
  • Recommended settings:
    • Outgoing SMTP server = mail.infomaniak.com
    • SMTP port & encryption protocol and command/method to activate this protocol: 587 + STARTTLS
    • Username = full & complete email address ( ? )
    • Password = the one generated for the email address you want to access ( ? )
    • Authentication required to send emails:
      • It is activated in the SMTP settings of your CMS.
      • Check "use the same parameters as the incoming server" or, depending on the CMS, enter a username (= full & complete email address) and the generated password.

 

SMTP configuration examples...

Prerequisites

  • Have a mail service.
    • You can use the Mail Service offered by Infomaniak or any other mail service of your choice.

When you have an email address whose domain is attached to your website ( email@domain-site.xyz for example) enter its details to use it for sending from the web server via SMTP:

... on WordPress

  1. Log in to the WordPress admin panel.
  2. Install an SMTP extension (WP Mail SMTP works).
  3. Configure the extension, for example:

From then on, an email sent from a contact form present on the site (default form Divi for example) will be sent via an SMTP method.

To ensure this, simply look at the headers of a message received this way, in particular the x-mailer line which may mention for example WPMailSMTP/Mailer/smtp instead of PHPMailer.

Note: the x-mailer can be any indication not necessarily representative of the actual sending method!

 

… on Prestashop

  1. Log in to the Prestashop admin panel.
  2. Go to Advanced Settings then Email.
  3. Configure sending via SMTP:

Then check (to avoid an error like Could not instantiate mail function or sender mismatch) that the address you have configured in these advanced settings matches the address that Prestashop uses when sending. To do this:

  1. Log in to the Prestashop admin panel.
  2. Go to Shop Settings.
  3. Click on Contact in the left sidebar menu.
  4. On the Contacts tab, check that the email address mentioned is the same as the one configured previously.
  5. Edit the email addresses if necessary:

This guide explains how to transfer an Infomaniak product from one Organization to another.

 

Preamble

  • You can move almost all products subscribed with Infomaniak to a different Infomaniak Manager interface than the one on which the product is currently located; this is therefore an internal transfer.
  • If your user has access to multiple Organizations it is even easier to send to one of them the product of your choice.
  • This operation does not cause any interruption.
  • The users currently having access to the selected products will not be transferred (and therefore may no longer have access to the products).
  • The invoices of the selected products will not be transferred.
  • my kSuite cannot be transferred.

 

Generate a transfer link

Prerequisites

To transfer a product:

  1. Click here to access the product transfer management on the Infomaniak Manager (need help?).
  2. Click on the Transfer products button:
  3. Check the product(s) to be moved:
  4. Read and accept the general conditions.
  5. Click on the Transfer button:
  6. Read and validate any warnings:

 

The transfer has started. Now, at your choice, you can:

  1. Copy the transfer link
  2. or send it to the email address of your choice…
  3. or select directly one of the Organizations to which your user is attached, and the selected product will be transferred there:

Alternative method

In the case of one-time transfer, you can also go directly to the dashboard of the product concerned and click on Manage (example in the image below) however, since this menu is not always present, it is better to prioritize the first method above, which also allows bulk transfer:

Receive the product

Once a product transfer is initiated by a user…

1. Be on the Organization that should receive the product

  • Click here to log in to the Manager on the Organization that should receive the product(s).
    • The user specified when logging in to the Infomaniak account must have administrative rights.
    • If necessary, you can create a new Organization to receive products.

2. Execute the obtained link

  • Click on the link obtained in the first step above.
    • You can also simply paste it into a browser while logged in to the appropriate Infomaniak account.

3. Validate the product transfer

  • If necessary, choose the destination Organization using the drop-down menu.
  • Read and accept the general conditions.
  • Click the Receive the product button (if the button is not clickable, make sure you have selected the Organization).

This guide details the security measures implemented as part of the Infomaniak email offers to detect abusive and abnormal use of an email address.

 

Preamble

  • Upon written request, justified and authenticated, it is possible to modify these security rules for a specific paid email address.
  • For sending emails to a large number of recipients, the Newsletter tool is the most suitable.
  • These measures protect you from malicious use of your computer or your account.
  • Quota calculation (sliding window): the limits (below) are not reset at midnight but calculated in real-time over a 24-hour window; each sent message "occupies" a space in your quota and is automatically released 24 hours after it is sent.
    • If you send messages throughout the morning until you reach your limit at 11 AM, your sending rights will be gradually released the next morning, as each message reaches its 24-hour age.
  • 1 message sent to 2, 42, or 99 people in CC/BCC counts as 2, 42, and 99 messages, respectively.

  • The operation does not affect either the data already present on the destination address or that of the source address.
  • Any duplicates are managed: identical content will only be copied once.

Google Prerequisites

  1. Enable two-step authentication (2FA):
    • It is imperative to enable two-step authentication in Gsuite - if necessary, the organization's administrator must first allow users to enable it from admin.google.com.
    • In the settings of your Google account (https://myaccount.google.com/), go to the Security tab and enable Two-Step Verification:

  2. Create an application password:
    • Once 2FA is enabled, return to Two-Step Verification and scroll to the bottom of the page to application passwords:

      • Click on Application Passwords.
      • Enter the password for your Gmail account if prompted.
      • Click on Select an app and then Mail.
      • Click on Select a device and select Other (Custom name).
      • Give a name to your password (e.g., Infomaniak), it is just descriptive.
      • Click on Generate.
      • Copy or note the password that appears on the screen (it does not contain spaces).

Transfer emails from Gmail to Infomaniak

 

a. Recreate the email address(es) on Infomaniak

If you have many (10+) email addresses to create, follow this procedure for mass creation.

Access the Infomaniak Mail Service and create the email addresses:

  1. Click here to access the management of your product on the Infomaniak Manager (need help?).
  2. Click directly on the name assigned to the product concerned.
  3. Click the blue button Create an email address at the top right.
  4. Enter the address (what comes before the at sign @) for example contact or michelle.
  5. Click the blue Continue button.
  6. Select I will consult the email address alone.
  7. Click the blue Continue button.
  8. Enter a password.
  9. Click the blue Continue button.
  10. Click the blue Finish button.
  11. Restart at point 3 above to recreate all email addresses identically.

 

b. Import mail content from Google to Infomaniak

If you have many (10+) email addresses to import, follow this procedure for bulk importation.

Access the Infomaniak Mail Service and import your emails:

  1. Click here to access the management of your product on the Infomaniak Manager (need help?).
  2. Click directly on the name assigned to the product concerned.
  3. Click on the chevron in the right part of the blue Create an email address button.
  4. Click on Import emails (direct link).
  5. Click on Import my emails into a single email address.
  6. Enter the existing email address at Google.
  7. Enter the password for this email address.
  8. Click on Advanced settings.
  9. Enter imap.gmail.com in IMAP server address (or try mail.gmail.com in case of error).
  10. Enter 993 in IMAP port.
  11. Enable SSL and disable TLS.
  12. Click on the blue Validate and continue button.
  13. Enter the email address (which was recreated at Infomaniak at point a.10 above).
  14. Click on the blue Import emails button.
  15. The import starts and runs in the background, an email is sent once the import is complete.
  16. Restart at point 3 above to import the rest of the email addresses.

 

Labels and data volume

The storage space displayed at Infomaniak may not match the one indicated in Gmail, notably due to the different handling of labels/tags.

Indeed, these, present in Gmail, will be converted into folders on the Infomaniak servers (same principle as when retrieving messages with an IMAP email software/client like Thunderbird):

As a result, an email tagged in multiple Gmail folders may be counted multiple times during the migration, which explains why an account showing, for example, 6 GB in Gmail can occupy 18 GB once transferred to the Infomaniak servers.

 

Adjust the application settings

This guide explains how to have multiple denominations (everything that comes after the at sign @ of your email address) for an existing Mail Service, by adding linked domain names.

 

Preamble

  • Email addresses (existing and future) are automatically valid with all linked domains.
  • To completely transform and reverse the domain names of a Mail Service, refer to this other guide.
  • To rather modify the part of your email address that comes before the at sign @, refer to this other guide.
  • Note also that you can rename your product in the Infomaniak Manager, but changing the name of a Mail Service has no effect on its addresses. You need to act on the domain name.

 

Add a domain name to the Mail Service

Prerequisites

Once the new domain name is ready to be used alongside the old one, it must be added to the Mail Service:

  1. Click here to access the management of your product on the Infomaniak Manager (need help?).
  2. Click directly on the name assigned to the product in question.
  3. Click on Domain Management in the left sidebar:
  4. Click on List of domains linked to the service in the left sidebar.
  5. Click the blue button Add a linked domain:
  6. It is possible to…
    1. Search for an existing domain on the organization to which you are connected; this will link and automatically update the DNS zone of the added domain.
    2. Add a domain name or subdomain to manually indicate the domain name or subdomain to be used (ideal if the domain name is elsewhere).
    3. Buy a new domain name.

 

a: The domain exists at the Organization level

  1. Click on the proposed domain name.
  2. Click on the blue button Link this domain:

It is done, the Mail Service now responds to a second domain name:

 

b: The domain exists but elsewhere (other Organization, other Registrar...)

  1. Enter the domain name to add.
  2. Activate the DNS entry update (if the domain name situation allows it, the DNS zone of the domain name will be automatically updated).
  3. If the point 2 above is active, then activate the replacement of any existing entries.
  4. Only reverse the domain name if you wish to set this new domain name as the main one (this is mainly an administrative rather than a technical issue).
  5. Click on the blue button Link this domain:

 

Example of use

The email contact@une-super-entreprise-familiale.com is a long email address. The synonym domain contact@usef.com is shorter and easier to remember.

By adding the domain "usef.com" to the Mail Service "une-super-entreprise-familiale.com" you authorize all messages sent to contact@usef.com (the linked domain) to arrive among the messages that the address contact@une-super-entreprise-familiale.com already receives.

This guide explains how to change the location of certain folders automatically present in the directory of your Infomaniak email address.

 

Preamble

  • The directory of a classic mailbox can contain certain special folders such as the one that stores emails…
    • … once they have been sent (= "Sent messages" or "Sent").
    • … for a few days before their definitive deletion (= "Trash" or "Bin").
  • Everything is already configured so that by default it is synchronized between the different messaging interfaces around the globe.
  • If you wish to make adjustments for various reasons, sometimes linguistic, then refer to the guide below to modify these special folders:
    • drafts
    • sent
    • bin
    • archives
  • This allows, among other things, to customize the synchronization of these folders with IMAP clients such as Outlook, Mail iOS, Thunderbird, Spark, etc.
  • Note that this does not change the storage duration limit of emails placed in some of these special folders.

 

Access from the Infomaniak Web Mail app

Prerequisites

To modify these special folders:

  1. Click here to access the Web Mail Infomaniak app (online service ksuite.infomaniak.com/mail).
  2. Click on the Settings icon at the top right.
  3. Check or select the email address concerned in the dropdown menu of the left sidebar.

Configure special folders

For security reasons, folder management is confidential and restricted to users added to the email address concerned.

Select the desired folders to store by default your drafts, archives, sent messages, and your trash by clicking on the area to the right of each item:

  • If necessary, create the desired folder in advance from Mail or an IMAP software:

This guide explains how to add or modify an MX record in the DNS zone (of a domain name) managed on the Manager Infomaniak.

 

Preamble

  • The “MX” record type allows you to specify which provider should manage the messaging (= the target).
  • You should only modify this type of record if you have a specific configuration to implement (for example, domain name with Infomaniak and messaging service with an external provider).
  • There can be multiple MX records (so that a second messaging service can take over in case the first one fails) and in this case a number designates the priority of each of them (the smaller the number, the higher the priority).

 

MX for Infomaniak messaging

Infomaniak automatically provides the MX record needed to link your domain name and your messaging, if both are managed within the same organization at the Manager level.

If your configuration requires you to add an MX record yourself to direct mail traffic to Infomaniak, then specify the following MX record:

mta-gw.infomaniak.ch

with the priority 5.

A correct SPF record is also required for the proper functioning of Infomaniak messaging.

 

Variant specific to certain operators

On the interface of some providers like Gandi, it is necessary to add a point at the end of the MX record: mta-gw.infomaniak.ch.

 

Modify the DNS zone

To manage this type of record in a DNS zone:

  1. Click here to access the management of your domain on the Infomaniak Manager (need help?).
  2. Click directly on the name assigned to the domain concerned.
  3. Click on DNS zone in the left sidebar.
  4. Click the button to add a record:
  5. Click on the radio button MX to add a record.
  6. Click on the Next button:

  8. Leave the default value for the TTL.
