This guide explains how to modify product access rights for a user in your Organization on the Infomaniak Manager.

 

Preamble

  • Since you opened your account with Infomaniak, you are part of at least one Organization.
    • If you were alone and it was not an invitation, an Organization was created in your name and you automatically become the legal representative.
    • Otherwise, you belong to the Organization that invited you (to join its kSuite, to manage a product, etc.).
  • It is possible to modify a user's role within your Organization.
  • You can then define whether a user…
    • is part of your Organization and should become:
      • Legal representative
      • Administrator
      • Collaborator (this is the part that is detailed below…)
    • is external to your Organization (limited rights):
      • External users are not included in the sharing of calendars and address books for the entire Organization.

 

Who can access what…

Prerequisites

The guide below allows you to manage product access for collaborators and external users. Indeed, a legal representative or an Administrator already has access to all existing products within the Organization and visible on the Infomaniak Manager.

To modify the product access of an Organization user:

  1. Click here to access user management on the Infomaniak Manager (need help?).
  2. Click on the action menu located to the right of the user concerned.
  3. Click on Modify product access:
  4. You can grant access to everything with maximum permissions in 1 click.
  5. Otherwise, click on the product category to which you want to grant access.
  6. Select the necessary product(s).
  7. If you have selected multiple products, decide whether a future additional product should automatically be visible to the user (and with what type of permissions).
  8. Click on the Save button:
  9. Rights are granted immediately.
  10. Click on the pencil icon ✎ to modify permissions:
  11. Restart at step 5 if you need to grant access to multiple products.

 

Service usage / Service management

Be careful, on your product table, it is important to distinguish between product access (type kDrive for example, within the kSuite) and product management access:

It is possible to authorize a user to use kDrive (they will be able to create a PDF for example) without granting them kDrive service management rights (they will not be able to change the offer, invite a new user, terminate, etc.).

 

 

Technical rights / Statistical rights

With certain services like kDrive, it is possible to give a collaborator TECHNICAL and/or STATISTICAL rights (adds access to the dashboard, share links, storage statistics, active users, connected devices, activity on kDrive):

Easier access: Groups

In order to facilitate the addition of access rights to a product that is on your Organization, there are Groups. These allow you to create teams that are linked to Infomaniak products with the desired rights, very practical for giving a new collaborator of your Organization access to the products they will need in their daily activity.

  • This feature is disabled by default on all calendars.

Obtain a schedule automatically and daily

Prerequisites

  • Sending a summary on kChat requires having kChat within your Organization.

To start the day by consulting a message in your Infomaniak inbox containing the schedule based on your Infomaniak agenda:

  1. Click here to log in to the unified settings of your Infomaniak Web apps and more specifically to the settings of the daily reminder of the Calendar app.
  2. Check or select the relevant Organization in the dropdown menu of the left sidebar.

Copy or move a contact

To do this:

You can also click and hold the mouse at the far left of a contact's row to copy or move a contact (or several contacts if you select them beforehand) to the desired address book in the left sidebar:

The default behavior when moving a contact from one address book to another folder or address book is "move".

By pressing the keyboard key you usually use to copy files from your computer (the ALT key, for example) while dragging them from one place to another, you can "copy" contacts instead of moving them.

Sharing an address book

To share contacts:

  1. Click here to access the Infomaniak Contacts web app (online service ksuite.infomaniak.com/contacts).
  2. Click on the action menu to the right of an address book (above any groups, which cannot be shared specifically but will be visible when the sharing is accepted).
  3. Click on Share:
  4. If there is already a sharing in progress and you want to start another one, click on Share at the top; otherwise, click on the Share button further down.
  5. Enter the email address of the user who will access the address book:
    • If the user does not yet have one, they can create one for free.
  6. Specify the user's permissions for this address book (Administration, Read-only, Read and write).
  7. Finish by clicking on the share button:

Contacts created or moved/copied to this address book in the future will be dynamically visible to all users who have access to the shared resource.

 

Accept the share

The invited user must accept the share to access the shared data (group names are already visible before acceptance), which will be located in an “Other address books” section:

To enable sharing of one of your calendars:

  4. Click on the button to Add a share:
  5. Enter the Organization, group, or email address corresponding to the Infomaniak user account that will access the calendar (if the user does not yet have an account, they can create one for free with the invitation they receive).
  6. Determine the user's permissions for this calendar (Can view, Can edit, Can edit and share).
  7. Finish by clicking the button:

Backup Retention Period

Restore points are created every day. Once a backup of the complete state of your calendar has been created, Infomaniak makes it available to you for 30 days.

If events can be restored, you can revert to the point from 24 hours, 48 hours, 7 days, and 30 days ago:

  1. Click here to access the Infomaniak Calendar web app (online service ksuite.infomaniak.com/calendar).
  2. Click on Advanced Actions from the left-hand menu.
  3. Select Restore.
  4. Choose the calendar to restore.
  5. Choose the desired version (1/2/7/30 days).

  • This operation does not affect data already present in the destination address or in the source address.
  • The entirety of the external mailbox will be imported.
  • Once the import process has started, it is no longer possible to interrupt it.
  • Any duplicates will be managed: identical content will only be copied once.

Import email content from Bluewin to Infomaniak

Infomaniak Prerequisites

Next, to import the email content:

  1. Click here to access the import tool (online service https://import-email.infomaniak.com).
  2. If necessary, log in to your Infomaniak account for the relevant organization, as the import will be done to one of the email addresses associated with the Infomaniak Mail web interface (online service ksuite.infomaniak.com/mail) of the Infomaniak account you are using.
  3. Click on the import via IMAP.
  4. Click on the one-time import.
  5. Fill in the field on the left with your source email address (the content of which you want to copy).
  6. Fill in the field on the right with the password for that same source email address (see prerequisites above).
  7. Click on Confirm.
  8. If necessary, enter a second email address that you want to import at the same time.
  9. Choose the email address to which you want to import the emails; the drop-down menu lists the email addresses currently associated with your Infomaniak Mail web interface (online service ksuite.infomaniak.com/mail) of the Infomaniak account you are logged into.
  10. After selecting the desired destination address from the list, click the blue Import Emails button.
  11. The copying process begins; you can wait and see the result on the page once the import is complete, or close the window (the import continues in the background, and progress can be tracked - see below).
  12. A confirmation email will be automatically sent to all email addresses concerned by the operation once the import is complete, indicating the number of messages copied.
  13. A tracking feature is available in the settings of the destination email address, on the web app Mail (online service ksuite.infomaniak.com/mail) only.
  14. The tracking feature allows you to view the import history for the address in question.

 

Import all your contacts

To continue using your address book, you need to export the contacts from Bluewin:

  1. Log in to your Bluewin interface.
  2. Click on Contacts.
  3. Click on the Settings icon in the toolbar.
  4. Click on Export contacts.
  5. Save the contacts.csv file to your device.

Then you need to import them:

  1. Log in to your Infomaniak Address Book.
  2. Click on Advanced Actions at the bottom left.
  3. Click on Import.
  4. Select your .csv file downloaded in step 5 above.
  5. Click on Next and start the import.

 

Redirect emails to Infomaniak

If the Bluewin address continues to exist for some time, you can set up a forwarding of incoming messages. This way, they will be automatically forwarded to your new Infomaniak address:

  1. Log in to “MySwisscom”, click on the "More" box, then “Settings”: 
  2. Then click on “Manage forwarding”: 
  3. Enter the email address created with Infomaniak as the destination for all your future incoming emails.

Search for an email

On ksuite.infomaniak.com/mail, type in the search bar at the top of the page the term to be found.

The search will be performed within the email address mentioned in the left sidebar (to search across multiple email addresses at once, use an IMAP email software / client to which you connect your different addresses):

You can search for content…

  • either in the body of the message,
  • either in its subject,
  • either among its senders/recipients

You can also filter the search by message size and by presence of attachment or not.

Regarding the scope of searches:

  • The content of encrypted emails is not indexed (except the subject of the email).
  • The content of attachments, as well as their name, is not indexed: it is therefore not possible to find an email by searching for the name of the file that was associated with it.
  • The mention "Search all emails" does not include the Trash, nor the Spam folder:
    • If a global search yields no results, it is possible that the email is in one of these two folders.
    • You will then need to go specifically to the Trash or Spam to perform the search there, or launch the search by selecting one of these 2 elements:
    • The possible elements found will then be displayed:
    • Same when you want to find a message in a specific directory, it is better to first go there from the left sidebar menu, then launch a search.

To search for the trace of an email or know its activity, you can also search in the logs of an email address.

 

Email search with a software/messaging client

To know how your specific messaging application performs searches, consult its documentation. For example, desktop apps (desktop application) Thunderbird and Outlook can synchronize messages locally and perform local searches, while other applications may prefer to search on the IMAP server and in this case, the software/messaging client sends a search command to the server, which then searches through all messages stored on the server and returns the results to the software/messaging client.

Remove a password / device

Prerequisites

In order to disconnect any IMAP/POP/SMTP connection that is currently being made using a password generated on this interface (this does not remove the address from the Infomaniak Mail apps — you must manage the users of the mail address for this), it is possible to revoke a device, or even delete all existing configurations with one click:

  1. Click here to access the management of your product in the Infomaniak Manager (need help?).
  2. Click on the name of the product in question.
  3. Click on the email address in question in the table:
  4. Click on the Devices tab.
  5. Click on the red link to disconnect all registered devices (confirmation is required).
  6. Click on the action menu to the right of the device in question.
  7. Click on “Change password” to disconnect the current connection but allow the device to reconnect with a new password directly.

What is a “generic” password?

Some email addresses may display a specific indication in the Devices section:

If this is the case, don't worry. It means that the address has a password assigned to it when it was created (before 2026). This password remains valid, but like other passwords, it cannot be displayed. And unlike other passwords, this one cannot be reset (the option is grayed out and disabled):

Envio em massa

Para enviar um e-mail para todo o grupo:

  1. Clique aqui para aceder à aplicação Web Mail da Infomaniak (serviço online ksuite.infomaniak.com/mail).
  2. Redija uma nova mensagem.
  3. Digite o início do nome do catálogo de endereços para que ele apareça e possa ser selecionado:
    • Você também pode clicar no "A" à esquerda do campo do endereço do destinatário para acessar seu catálogo de endereços e suas subpastas (grupos de contatos):
    • Claro, também é possível usar os contatos que já estão em seu catálogo de endereços para enviar uma mensagem individual ou em grupo, digitando as primeiras letras dos nomes.

 

Você pode compartilhar todo um catálogo de endereços com outros usuários (usuários que você convidou e selecionou, obviamente), mas não apenas um grupo específico.
